Simultanous translation application usage instructions

Every attendant in the audience, bot physical presence and on zoom, has to possibility to have the presentations given by Jo Lernout and Willy van de Voorde, scheduled for Wednesday afternoon (Italian time) hear and see in their own language of choice.

Jo and Willy will give their presentation in English.

If you want to have it translated in your own language, please follow the instructions:

• Connect to the internet from any device : your smartphone, tablet, laptop…

• Go to the link: https://multitranslation.botsrhere.com

• If the application asks for accepting microphone : select ‘allow’ for : each time visiting this website

• When the start screen appears:

Select Role : click on this box and select : audience ( do NOT select ‘presentor’)

Then : Name: enter your name

Then: Email : fill in your email (we respect GDPR and will not contact you, and email will not be used in any way after the presentation, the email is needed to allocate you a unique session, and preventing others listening in on your conversations or questions)

Then Language: scroll to any of the available languages to select in what language you want to hear the presentation and see the transcript of it given by Willy and Jo .

Then press the Start button

You will see : start a new conversation : do not click this, or wait to click this until the presentation by Jo and Willy starts.

Leave your smartphone, tablet or laptop open during the presentation

Then, when Jo and Willy start presenting in English, automatically (they will briefly pause in between complete sentences or words) you will see and hear : both the translated version in your language , and see also the English translation : this will be out loud, depending on the volume of the loudspeaker you have set. Each participant will get this translation simultaneously in her/his language even different languages across all participants.

When you are attending via zoom: mute your microphone, otherwise the spoken translation version will be heard out loud by all attendees and disturb the zoom session, so only unmute and raise hand on the zoom screen if you want to ask a question : you can ask your question in your own language by clicking on : ‘touch to speak’ (green or blue button) and only after you have received the translation from the presentor. Touch the speak button , and start speaking: the color will turn orange while you speak. Please speak in full sentences and pause only after a full sentence is said: because: after each pause: the application will already translate and will wait till your next question or sentence.

After finishing speaking: touch the ‘speak button again’ : then the speak button will return to green or blue, and you will see what you have said as text in your own language and the translated version that the presentor (Jo or Willy) will hear and see : the text you have said will be seen by them in your language, and the translated version for them also in English seen and spoken out. It is important to click the speak button again after you finish, otherwise the microphone will remain in ‘orange’ and keep listening.

Other participants in the audience will not receive the questions you ask on their smartphone or tablet or laptop, they can only hear what you ask when you have unmuted on zoom, or when you are physically present in the conference room.

When you are attending physically in the conference room : either use an earpiece Bluetooth linked loudspeaker or turn the volume of your device low, this in order not to disturb the other participants.
